At BST Inspection Services (“we,” “us,” or “our”), a veteran-owned and family-owned company, we value your trust. Right from the start, we want to state our intentions right up front. It is our Intention to treat you like family by keeping your information safe, secure, and private. Not everything is perfect and problems will occur; we hope that we can navigate those problems together. We never sell your personal information, and we only collect what we need to provide our services.

Information We Collect

We collect:

  • Contact details: Your name, email address, phone number, mailing address (if provided), and the repair facility’s contact info and address.

  • Vehicle information: VIN, year, make, model, license plate (if provided), and symptoms or concerns you describe.

  • Payment information: Processed securely through our provider (we do not store full credit card details ourselves).

  • Inspection-related details: Notes, observations, photos, fluid samples (if sent for lab testing), and the resulting report.

This information comes directly from you when you request an inspection online, by email, or by phone, and during the inspection process.

We may also automatically collect limited technical information when you visit our website, such as your IP address, browser type, device information, and pages visited. This helps us maintain site security, troubleshoot issues, and improve our services. We do not use tracking cookies or similar technologies for advertising or analytics profiling.

How We Use Your Information

We use your information to:

  • Schedule and perform your Mechanical Breakdown Inspection, Pre-Purchase Inspection, Arbitration Inspection, or other requested services (virtual or in-person).

  • Communicate with you and the repair facility, their representatives such as service advisors, writers, managers and technicians, or other parties involved in the inspection.

  • Prepare and deliver your PDF report (we do not share the full report with the seller or unrelated third parties unless you direct us to do so).

  • Process your payment.

  • Respond to your questions and improve our services.

How We Share Your Information

We only share your information when necessary and take steps to protect it:

  • With service providers (such as our dispatching and inspection management platform Autoflow, website hosting like Squarespace, email/SMS communication tools, and payment processors) who are contractually obligated to keep your information confidential and use it only for the purposes we specify.

  • With Google Maps and other Google services for location and routing during inspections.

  • With our in-person inspectors and the repair facility (only the details needed to complete the inspection).

  • As required by law, court order, or to protect the rights, safety, or property of BST Inspection Services, our customers, or others.

  • In the event of a business merger, acquisition, or sale of assets, your information may be transferred to the successor (we will notify you if required by law).

We do not share your information with any other third parties for their own marketing purposes, and we do not sell it. Inspection reports and photos are shared only as needed to deliver the service to you.

Data Retention

We generally retain your information for up to 90 days after the inspection is complete, unless you ask us to keep it longer or we are required by law to retain it (for example, for tax, accounting, or dispute resolution purposes). After that period, we delete or anonymize it where possible. Backups or residual copies may remain for a short additional time for technical or legal reasons. If you make an account with us, your data will be available for as long as we have it stored, which will be virtually forever.

Security

We take reasonable steps to protect your information, including through our service providers’ secure platforms. Payment information is handled with industry-standard encryption. However, no system is completely secure, and we cannot guarantee absolute security against all risks.

Your Rights

You can:

  • Request access to or a copy of the information we hold about you.

  • Ask us to correct inaccurate information.

  • Request that we delete your information (subject to legal or legitimate business needs).

  • Opt out of any marketing emails (every email includes an unsubscribe link).
